DEAR MEMBERS OF QUEENSTOWN BAPTIST CHURCH,

We will be holding our Annual General Meeting (AGM) on Sunday, 31 January 2021 at 2:00PM.  All members are required to attend the Annual General Meeting.

Virtual Annual General Meeting

In view of the ongoing COVID-19 situation, and based on the government Gazette S327: COVID-19 (Temporary Measures) Act 2020 issued by the Ministry of Law, we will be holding the AGM electronically. The AGM will be virtual through Zoom (https://zoom.us/) video-conferencing. 

Meeting ID will be announced nearer the date of the AGM during the Sunday Service.

Members will not be able to attend the AGM in person. They may only attend the AGM by observing and listening to the proceedings via Zoom video conference facility.  To understand how to install and use Zoom, please click here for the instructions.

The AGM will discuss and vote on the following resolutions:

1. Confirmation of previous AGM minutes held on 2 Feb 2020
2. Report by Senior Pastor Office (SPO)
3. Treasurer's report
4. Approval for designated use of 2020 surplus funds
5. Approval for Budget 2021
6. Appointment of external auditor 2021
7. Acceptance of baptismal candidates as members & transference of membership
8. Election of office bearers for 2021
   1. Policy Group 
   2. Church Council 
   3. Churchwide ministry office bearers
   4. English Congregation Exco
   5. Chinese Congregation Exco
9. AOB

The documents relating to the above resolutions can be downloaded here. For confidentiality, the documents have been password-locked.
The password to unlock the documents will be announced during the Sunday Services before the AGM and again at the beginning of the AGM itself.

Voting

QBC Constitution does not have provisions to allow digital voting. Thus members need to appoint the meeting chairperson as proxy and to direct their votes through the proxy using one of the means stated below. This requirement is as per Government Gazette S327. The government has revised the virtual business meeting procedures by allowing non-profit organizations like QBC to use digital means that we consider as appropriate to collect proxy forms.  The QBC Policy Group have decided that the use of google form for collecting proxy assignments is appropriate. 

Members only need to submit their forms once and members can opt for either of the two following methods:

• Click here to fill in the form online
• Print out the form here, fill in the details of the vote and sign the form, and
  • Scan the form and email the picture or pdf copy to This email address is being protected from spambots. You need JavaScript enabled to view it.
  • Take a picture of the form and whatsapp the picture to 8847 4129
  • Mail the form (not the picture) to “Queenstown Baptist Church Office, 495 Margaret Drive, Singapore 149305”

You need JavaScript enabled to view it. by 20 January 2021.  We will attempt to address all relevant questions raised.  Any relevant questions not addressed will be done through a notice on the QBC website 2 weeks after the meeting.

If you wish to join the AGM but you do not have the necessary devices or application, we will make alternative arrangements for you to join the AGM virtually.  Please contact the church office, your pastors or your DG leader with your request.
